Business Operations Specialist
Job Description
Essential Functions:Enters purchase orders into JLL procurement software to route for approval
Prepares and executes department budget in conjunction with Sr. Facilities Manager
Reviews monthly financial reports for accuracy
Works with vendors on invoice disputes for resolutions
Recommends opportunities for economies of scale for vendor spend
Implements new hire on-boarding program
Maintains on-going communication with clients, management team and vendors
Ensures the established communication processes for urgent repairs are established and followed
Manages contractor / vendor work compliance to clients processes
Proposes processes and potential for automation to streamline site administration
Assists with the coordination, scheduling, follow-up and satisfaction of maintenance activities
Works with central sourcing to negotiate contracts for site operations
Compiles and prepares reports for upper management's review and use.
Other duties as assigned
Qualifications:
High School diploma, with at least eight (3) years of experience in business administration, ideally in life sciences facility operations.
Proven experience in operations, procurement, or related field
Strong financial analysis and budgeting skills
Excellent vendor management and negotiation abilities
Ability to identify and implement process improvements
Exceptional communication & organizational skills
Proficiency with procurement software & financial reporting tools
