Job Description
ADMINISTRATIVE ASSISTANT, CENTER FOR CONSTRUCTIVE COMMUNICATION (CCC), Media Lab, to handle complex administrative responsibilities; manage the calendar of CCC Director Deb Roy; coordinate travel logistics for CCC faculty, students, staff, and guests, including hotel and flight reservations and event and conference registration when needed; provide detailed travel itineraries to the traveler and coordinate and process reimbursement for travel expenses; support the coordination of CCC meetings, workshops, and conferences, including logistics such as securing space, initiating and coordinating online conferencing (Zoom), catering set-up and breakdown, scheduling, ordering and shipping workshop materials, and generally supporting the event before, during, and after; and support onboarding for new group members, such as ordering keys, updating mailing lists, and purchasing supplies, including laptops.

Job Requirements:REQUIRED: High School diploma or equivalent; a minimum of three years of administrative, office, or related experience; consistent reliability; ability to work collaboratively and effectively with a creative and diverse group of people, including researchers, students, corporate sponsors, and administrators; solid organizational, customer service, financial sense, attention to detail, and time management skills; effective communicator with excellent verbal and written communication skills; exercises discretion, diplomacy, and tact; excellent computer skills, including proficiency with Google Workspace, and comfortable learning new software; anticipate needs; and comfort working in a demanding, fast-paced environment with the ability to shift tasks quickly and successfully balance and prioritize workload. PREFERRED: Associate or bachelor’s degree; and familiarity with MIT business applications: Microsoft Office, SAPgui, Concur, Google Workspace, Dropbox. Job #24624-5
