JOB DESCRIPTION

JOB TITLE: Onboarding Specialist

 


GENERAL DESCRIPTION:

The Onboarding Specialist reports directly to the Director of Admissions and collaborates with various departments across the college. The Specialist plays a crucial role in attracting and facilitating the enrollment process for prospective students. They are responsible for building relationships with stakeholders, managing admissions applications, organizing outreach and recruitment events, and providing comprehensive support to students throughout their onboarding journey.

 


EXAMPLES OF DUTIES:

Recruitment and Outreach:

  • Network, build, and foster relationships with prospective students, families, high school educators, community organizations, and industry leaders to promote the college's academic programs and services.
  • Monitor admissions applications for a variety of Clatsop programs, including degrees and certificates utilizing the student information management system.
  • Organize, participate in, and assess college outreach events targeting district high schools, community organizations, and businesses.
  • Contribute to the development of student recruitment and retention plans, strategies, and written materials with a focus on improving the student experience.

Onboarding and Student Support:

  • Provide large- and small-scale presentations and information sessions about the college's academic programs and services to assist students in planning for academic and career success.
  • Develop and continuously improve the prospect-to-applicant communication plan to enhance the onboarding experience.
  • Offer comprehensive customer service to students navigating admissions, registration, financial aid, scholarships, and the Student Transition and Engagement Program (STEP).
  • Collaborate with department leadership and staff to establish and maintain an equitable enrollment process and create a sense of belonging for all students.

 


Data Analysis and Reporting:

  • Analyze and interpret data to generate actionable insights, metrics, and reports supporting data-driven decision-making processes related to enrollment services.
  • Assist the Director of Admissions in the implementation of the new Ellucian CRM system RECRUIT as well as learn Ellucian- Colleague student information system.
  • Maintain a database of prospective students, tracking information on students served, college or career paths chosen, and other relevant data points.
  • Prepare reports as required to support enrollment management strategies and initiatives.

Other Responsibilities:

  • Assist in planning and attending Student Orientation as a representative of Student Services.
  • Represent the department at various meetings, campus events, and conferences as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge Required:

  • Understanding of student recruitment strategies and best practices.
  • Familiarity with enrollment management processes and procedures in higher education.
  • Knowledge of data analysis techniques and reporting methods.

Skills Required:

  • Excellent interpersonal and communication skills for building relationships and delivering presentations.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite and student information management systems.

Abilities Required:

  • Ability to collaborate effectively with diverse stakeholders.
  • Proactive attitude towards problem-solving and addressing student needs.
  • Flexibility to adapt to changing priorities in a fast-paced environment.

TYPICAL PHYSICAL DEMANDS AND WORK ENVIRONMENT:

Hearing voice conversation, sitting, walking, occurs in this job daily. Bending, climbing a 3-step ladder, color identification, gripping hands & fingers, kneeling, lifting/carrying 0-14 pounds, standing long periods, stooping, twisting body, noisy work area, occurs regularly but not daily.

 


MINIMUM QUALIFICATIONS:

  • Bachelor's degree in education, communication, business, social services, or related field.
  • Two years of professional experience in student recruitment and retention, admissions, or enrollment services.
  • Experience with student information management systems or similar databases.
