Academic Program Support Specialist

Job Description

NOTE: THE COLLEGE IS SEEKING TO FILL FOUR FULL TIME  APSS POSITIONS.

POSITION SUMMARY
The Academic Program Support Specialist (APSS) serves CCA’s Academic Success Division, providing excellent customer service with front desk and administrative support services to academic leadership, department chairs, faculty, instructors, staff, and students. The specialist possesses a general knowledge of higher education and administrative and project management knowledge and skills. This person has the ability to perform tasks autonomously, with keen attention to detail, and the ability to adapt to unexpected changes. The specialist interacts effectively with constituents and stakeholders, from diverse backgrounds, inside and outside the college in a variety of mediums (face-to-face, online, and over the phone). This person also provides liaison services to college-wide personnel through excellent communication and project management skills.

OVERVIEW OF CCA 
The Community College of Aurora serves our diverse community by providing high-quality instruction and support services to prepare students for transfer and employment. In addition to traditional degree and certificate programs, CCA offers non-credit professional development courses, customized training, and economic and workforce development resources to employer partners and individual professionals seeking to enhance the capacity and productivity of their workforce or individual knowledge and skills. DUTIES & RESPONSIBILITIES

  • Provide excellent customer service with front desk and administrative tasks.
  • Perform administrative tasks requested by the direct supervisor (Academic Success Dean) or Department Chairs to support the effectiveness of academic programs and student success.
  • Assist with selected course- and program-level assessment of student learning tasks (for example, collection, management, and storing of data).
  • Review learning management system (LMS) course shells in accordance with department policies and Dean and Department Chair expectations.
  • Manage medium and long-term projects; for example, research to support program growth and development.
  • Attend program-related events both on and off-campus as required, including Advisory Committee meetings, representing the college in an engaging and professional manner.
  • Plan and manage or support department events as needed.
  • Create well-written and well-designed documents for distribution.
  • Maintain documentation and digital records related to academic program effectiveness and development.
  • Design and distribute public information on behalf of Deans, Department Chairs, and programs, in collaboration with the college’s Strategic Communications staff.
  • Direct student concerns on behalf of the Dean and Department Chairs.
  • Answer questions about departments and programs.
  • Participate in professional development relevant to the position responsibilities.
  • Other duties as assigned.

 MINIMUM QUALIFICATION

  • Some college
  • One (1) year experience in a work setting related to an academic department
  • Excellent written and verbal communication skills
  • Proven problem-solving and decision-making skills
  • Extensive knowledge of Microsoft Word, Excel, Outlook, PowerPoint, Forms, Teams, SharePoint
  • Demonstrated ability to handle multiple tasks and projects simultaneously

PREFERRED QUALIFICATIONS
  • Associates Degree

SUPPLEMENTAL INFORMATION

Salary Range: Anticipated starting salary range: $50,968.00 annually. This salary is determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information. CCA offers an excellent benefit plan, including generous leave, holiday, and education benefits. Full time employees immediately upon hire earn 15 hours a month annual leave and 10 hours a month sick leave.
