Job Description
The Administration and Finance Assistant reports directly to the Compliance Officer and serves as the initial point of contact for the office in an administrative assistant role. The administrative assistant is a critical member of the Administration and Finance team providing back up support to the Compliance Officer, the Director of Administrative Services, and the College Architect.
DUTIES AND RESPONSBILITIES:
- Performs necessary tasks with minimum supervision.
- Maintain confidentiality with regard to sensitive work-related information.
- Must be timely, organized, self-disciplined and a problem solver.
- Demonstrates exceptional adherence to work schedules and all college policies and procedures.
- Maintains an effective working relationship with college personnel, students and the community and demonstrates the ability to work effectively with a diverse group of administrators, faculty, staff and students.
- Processes telephone calls in an effective and efficient manner.
- Produces letters, reports and minutes from rough drafts.
- Takes minutes at all meetings assigned by the Compliance Officer.
- Composes routine correspondence.
- Maintains an accurate and complete filing system including electronic and physical files.
- Utilizes word processing, email, and spreadsheet skills.
- Assists in maintaining travel and other associated reports.
- Assists in the monitoring of expenditures and revenues.
- Assists in planning, scheduling and implementing meetings and coordinates arrangements for refreshments, meals, equipment and other requirements.
- Assists in planning and implementing routine responsibilities and functions.
- Assists in the preparation of monthly reports, as assigned, for the Board of Trustees.
- Proofread and prepare reports as requested for submission.
- Assists in the scheduling of college vehicles for the District Office fleet.
- Processes check requests and purchase orders as needed.
- Assists in maintaining inventory for office.
- Annually, through the MGCCC Employee Development Program, the successful candidate shall complete a minimum of 15 hours of work-related training utilizing internal training venues as well as approved external training offerings.
- Assist with Compliance Office communication plan.
- Collection of data from College stake holder on various assignments, tasks, and projects.
- Assist in the tracking and updating of the Colleges Policies and Procedures Manual.
- Performs other duties as assigned by appropriate personnel.
Mandatory Qualifications
(M1) Minimum of an Associate Degree in Business and Office Technology or related field from a regionally accredited institution of higher learning.
(M2) Two years of secretarial or office support experience in an educational, governmental, business or other entity.
(M3) Training and/or experience in the operation of personal computers and proficiency in the Microsoft Office Suite, including Microsoft Word, One Drive, Outlook, Excel, and PowerPoint.
(M4) Proficiency in taking and organizing meeting minutes.
Desirable Qualifications
(D1) Bachelor’s Degree in Business, Education, or related field.
(D2) Experience in a community/junior college setting.
(D3) Demonstrated successful experience in meeting and dealing with the public.
(D4) Ability to organize and administer functions, events and programs with a minimum of supervision.
(D5) Demeanor, training, and skill to deal with a wide variety of individuals and groups in varying degrees of professional situations.
